Import

This option is for importing the Item file when you are setting up Meals PlusInventory.

It can also be used to update items and prices from a flat file.

Save/Load Settings

• Select the Save/Load Settings by choosing one of the options in this section.
  • One Time Only indicates the file configuration will not be saved.
  • Create new settings will be saved so you can run it again later. You will need to enter a reference name.

  

  • Load previously saved is used if you want to re-run a saved export. Select the export name from the dropdown list. You can also modify the export configuration and when you click Save\Export the updated configuration is saved.

  

Bid Prices

• Click Yes if you would like the import to update the bid prices, or
• Click No if you do not want the bid prices updated.
• Select the Begin and End Dates for the bid prices from the date selectors.

File Configuration Settings

Before you import a file, you will need a delimited file (separated by commas) that includes the following *REQUIRED* fields:

• Item Description—this comes from the Description field on the Details Tab in Item Maintenance.
• Item Code—this comes from the Item Code field on the Details Tab in Item Maintenance.

• Account Category—this comes from the Account Category Setup fields under Administration: Account Category Setup.

  • These must be entered into the Import file exactly as it appears on the Account Category Setup screen, otherwise it will create an entirely new Account Category when the import runs.

• Bid Price—this comes from the Bid Price field on the Bid Price Tab in Item Maintenance.

• Primary Unit—this comes from the Primary Unit field on the Bid Price Tab in Item Maintenance.

• Quantity Per Primary Unit—this comes from the Quantity Per Primary Unit field on the Bid Price Tab in Item Maintenance.

  • The Qty Per Unit field will not update if the item being imported already exists. If the Import has the Qty Per Unit field mapped, a message displays below the grid: ‘***Qty Per Unit will only apply to new items’.

• Secondary Unit—this comes from the Secondary Unit dropdown list on the Bid Price Tab in Item Maintenance.

• Vendor Number—this comes from the Vendor ID field on the Administration: Vendor Setup screen.

  • These must be entered in the Import file exactly as it is in Vendor Setup.

• Vendor Description—this comes from the Vendor Name field on the Administration: Vendor Setup screen.

  • Do not use special characters (i.e. $. /, ‘, etc.) in the Excel (.csv) file. This may cause the import to be unsuccessful.

  • Ensure Primary Unit, Quantity per Primary Unit and Secondary Unit are separated into their own cells before impo

You can also import the following *OPTIONAL* fields:

• Vendor Item—this comes from the Vendor Item field on the Bid Price Tab in Item Maintenance.
• Bid Group—this comes from the Bid Group dropdown list on the Bid Price Tab in Item Maintenance.
• Item Group—this comes from the Item Group dropdown list on the Bid Price Tab in Item Maintenance.
• Storage Location—this comes from the Storage Location Setup fields under Administration: Storage Location.
  • These must be entered into the Import file exactly as it appears on the Storage Location Setup screen, otherwise it will create an entirely new Storage Location when the import runs.
• Prepared In-house—this comes from the Prepared In-house checkbox in Central Kitchen: Settings.
• Tax Group—this comes from the Tax Group dropdown list on the Bid Price Tab in Item Maintenance.
• Alternate Item—this comes from the Bid Group dropdown list on the Bid Price Tab in Item Maintenance.
• Allow Order Secondary Quantity—this comes from whether the Allow Order Secondary Quantity box was checked on the Details Tab in Item Maintenance.
• Handling Fee—this comes from the Handling Fee field on the Bid Price Tab in Item Maintenance.
• Servings per Primary Unit—this comes from the Servings per Primary Unit field on the Bid Price Tab in Item Maintenance.
• Menu Costing—Weight per Sec Unit—this comes from the Weight per Sec. Unit field in the Menu Costing section on the Bid Price Tab in Item Maintenance.
• Menu Costing—Measure—this comes from the Measure dropdown list in the Menu Costing section on the Bid Price Tab in Item Maintenance.
• Contract Item—this comes from the Contract field on the Bid Price Tab in Item Maintenance.
• Brand—this comes from the Brand field on the Bid Price Tab in Item Maintenance.
• UPC (if the information is available)—this comes from the UPC field on the Bid Price Tab in Item Maintenance.

• Browse… to the location of your delimited file.

• Select Yes or No in the Does the first row contain header information? line.

  • If No is selected, the first line of the Import file will import.

  • If Yes is selected, the first line of the Import file will not import, and instead will be used as header information.

  • The line will show in the File Preview grid regardless.

File Preview

If the file format is correct, you will get a preview screen with all the column headings set to Skip.

• Click on a column header and use the dropdown list to select the appropriate column heading for the data you want to import.
• Leave Skip as the heading on any column you do not want to import.
• Click Clear Mappings to set the columns back to Skip to remap the fields.

• Click Import to run the process.
